Buying & pricing
What is Swift Serve Pro?
Swift Serve Pro runs a home-service business from one app: customers, texting, estimates customers approve from a link, scheduling, jobs with before and after photos, invoices and online payments, and marketing that mostly runs itself.
It was built by the owner of a soft-washing company to run his own crews, so it's shaped around how service businesses actually work.
Who is it built for?
Owner-operators and small crews in home-service trades that don't need a contractor's license: pressure and soft washing, window cleaning, gutters, lawn care, house cleaning, holiday lighting, junk removal and similar work.
It works for a one-person shop and for a crew with an office. Everyone gets their own login, and nobody pays per seat.
Does it work for my trade (pressure washing, soft washing, windows, gutters, lawn care, house cleaning, holiday lights, junk removal)?
Yes. You set up your own services and prices in the Price Book, so the app speaks your trade. Re-service reminders run on your own schedule (every 6 months, every year, every 2 years — whatever fits your work).
Seasonal businesses like holiday lighting get extras: a first-year and following-year price on one estimate, and a "rebook radar" for last season's customers.
In the app: How-to guide → Estimates, Reports
How much does it cost?
$99 a month, or $990 a year (two months free). One plan with everything included: unlimited users, texting, email, online payments hookup, photos, marketing tools, reports and the phone app.
Texting is included up to 1,500 text segments a month, which covers a typical business with room to spare. If you need more, extra packs are $12 per 500.
Is there a yearly price?
Yes: $990 a year, which works out to $82.50 a month. That's two months free compared with paying monthly.
Do you charge per user?
No. Add your whole crew and your office help at no extra cost. Each person gets their own login, and you choose what each one can see (field techs don't see prices unless you turn that on).
Is texting included, and is there a limit?
Texting is included up to 1,500 text segments a month (texts you send and texts you receive). A normal text is one segment; a long one counts as two or three, and a picture counts as three.
Calls forwarded from your business number to your cell are included up to 150 minutes a month.
In the app: How-to guide → Inbox & texting
Are there any setup fees?
No. Setting up yourself is free: the import tool and the setup checklist walk you through it. If you'd rather have us do it, there's an optional paid setup for $199.
What's included in the paid setup?
We bring over your customers and job and invoice history from one export (Jobber, Housecall Pro or a spreadsheet, up to a few thousand rows), enter your price book, brand your estimates and invoices, submit your texting registration (and resubmit once if the carriers push back), and do a 45-minute live call to get you comfortable.
Bigger or messier data than that gets a quote first.
What's the founding-customer offer, and how long does it last?
The first 10 businesses pay half price for life: $49.50 a month, plus $99 for the paid setup. In return, we ask for a 15-minute feedback call after your first month and permission to share your results.
"For life" means as long as your subscription stays active. If you cancel and come back later, you'd come back at the regular price.
Is there a contract? Can I cancel anytime?
No contract. Cancel anytime: you keep full access until the end of the month (or year) you've paid for, and you're never charged again.
Do you offer refunds?
No, payments aren't refunded, monthly or yearly. You can cancel anytime so you're never charged again, and you keep access until the end of the period you paid for. The 30-day free trial is there so you can try everything first.
How is this different from Jobber or Housecall Pro?
Three big differences. One price with unlimited users and texting included, where the others charge per user and put texting on their higher tiers. Marketing that runs itself: re-service reminders, quote follow-ups, review requests and a weekly set of social posts built from your own before and after photos, all waiting for your one-tap OK. And it's built by an owner who runs a crew with it every day, so field details like offline photos and before/after pairs that line up are first-class.
Why does it cost less than Housecall Pro or Jobber's texting plans?
We keep one plan instead of tiers, and we don't charge per seat. Most competitors put two-way texting on plans that cost $149–$299 a month. Swift Serve Pro includes it at $99.
Who built Swift Serve Pro?
A working soft-washing business owner in Florida. It was built to run a real crew after getting fed up paying for software that didn't fit, and two real service businesses run on it every day.
Does it work on a computer?
Yes. Open it in any web browser. The office side (reports, mass texts, marketing) is easiest on a big screen, and the crew side is built for phones.
In the app: How-to guide → Getting started
Do you take a cut of my card payments?
No. You connect your own card processor (Helcim or Stripe) and pay only their normal fees, straight to them. Swift Serve Pro adds nothing on top.
In the app: How-to guide → Settings
Do I need to buy anything else (a phone number, a website)?
Your texting number is set up for you. You'll want a card processor account (Helcim or Stripe, both free to open) to take payments online.
A website helps: the phone carriers want to see your business on your own site before they approve texting, and it's where your "request service" form lives. If you don't have one yet, ask us.
Switching & your data
Can I bring my customers over from Jobber, Housecall Pro, or a spreadsheet?
Yes. Export a CSV file from your old system and run it through the import tool in Settings. Housecall Pro exports are recognized automatically; any other CSV works too, you just match up the columns. Every import shows a dry run first, and a whole import can be undone in one step.
In the app: How-to guide → Customers
Can I bring my job and invoice history too?
Yes: customers first, then job history, then open estimates and unpaid invoices, then your price book, one file at a time. History you bring in is marked as imported so it doesn't throw off your new reports.
In the app: How-to guide → Customers
How long does switching take?
Most businesses are importing and sending estimates the same day. The one thing that takes longer is texting approval from the phone carriers (a few days to a couple of weeks), and you can use everything else while you wait.
Will you move my data for me?
Yes, with the optional paid setup ($199, or $99 for founding customers). We import your data, check it with you, and fix anything that came across wrong.
Can I keep my current business phone number?
Not yet. Every business gets its own new local number for texting, set up during your trial. Moving an existing number over is something we plan to add.
Can I export my data if I leave?
Yes. Most report cards already download as spreadsheet (CSV) files. For a full copy of your customers, jobs, invoices and photos, ask us and we'll send it to you. A "Download all my data" button in Settings is on the way.
In the app: How-to guide → Reports
What happens to my data if I cancel?
When your plan ends, the account locks but nothing is deleted. We keep everything for 90 days, so if you come back within that time it's all exactly as you left it. After 90 days it's permanently deleted. Want it deleted sooner? Ask and we'll do it.
In the app: How-to guide → Getting started
Can I run both systems side by side while I switch?
Yes. Many owners import their customers, turn on Testing mode so no texts go out, and practice on real jobs for a week. When you're ready, turn Testing mode off and stop using the old system.
In the app: How-to guide → The Rules the App Enforces
Will my customers notice the switch?
Only in good ways: estimates they approve from a link, appointment and on-my-way texts, and a clean online payment page, all with your name and logo. If your texting number changes, you can text everyone one notice with the new number.
In the app: How-to guide → Customers
Getting started
How do I sign in?
Open the app and tap "Continue with Google" (or "Sign in with Apple", once your business has it), or tap "Sign in with email" and we'll email you a code to type in. You can also set a password in Settings → This phone → Your sign-in and use that instead.
Only people who've been added to a business can get a code.
In the app: How-to guide → Getting started
What should I set up first?
In this order: your business profile and logo, your Price Book, your texting number (start this early, carrier approval takes days), card payments, then import your customers. After that, add your crew and get the app on your phone.
How do I add my logo and business name?
Settings → Business → Branding. Fill in your business name, the short name you go by, your initials, what your customer portal is called, and upload your logo. Your texts, estimates, portal and photo watermark all follow.
In the app: How-to guide → Settings
How do I set up my services and prices (Price Book)?
Open the Price book tab on the Estimates page and add each service with its price, a description, and a plain-English name for texts ("roof washing"). You can also import a price book from your old system.
In the app: How-to guide → Estimates
How do I connect my texting number?
Settings → Phone, email & payments. Each business has its own number, and it has to be registered with the carriers before texts deliver. Get approved to text does that paperwork in about 10 minutes (the setup checklist's texting step opens it); the Texting card shows the number once it's connected.
In the app: How-to guide → Settings
Why does texting need carrier approval, and how long does it take?
US carriers require every business that texts customers from software to register who they are and what they send (it's called A2P 10DLC). Unregistered texts get blocked. You fill it in once in Settings → Get approved to text; carrier review usually takes 1–2 weeks after we file it.
You can use the rest of the app while you wait, and the setup checklist counts "waiting for approval" as done.
In the app: How-to guide → Settings
How do I take card payments?
Connect your Helcim or Stripe account in Settings → Phone, email & payments → Card payments. From then on, every invoice and deposit can be paid online from a link you text or email.
In the app: How-to guide → Settings
Helcim or Stripe: which should I use?
Both work. Helcim usually has lower card fees for service businesses and supports bank (ACH) payments; prepay plans currently need Helcim. Stripe is quick to open and reports its fees exactly on every payment. If you already have one, use it.
In the app: How-to guide → Reports
How do I add my crew?
Add each person in Settings → Team & access → Team with the email they'll sign in with. They sign in once, and you tap Approve in the Logins card and pick their role.
In the app: How-to guide → Getting started, Settings
What's the setup checklist?
A list of the eight things a new business needs in place: business profile, name and logo, texting number, email replies, card payments, price book, your team and your customers. The owner sees it on Home as a "Finish setting up" card, and the full list lives in Settings → Business → Setup checklist.
It ticks itself off from what's really set up, so nobody checks a box by hand. It also lists five optional extras, like your own email domain and a Google review link, which never hold it up. When the eight are done the card leaves Home by itself. Working alone? Tap "It's just me" on the team step.
In the app: How-to guide → Getting started
What does each role (Owner, Office, Field tech) see?
Owner sees everything. Office sees the whole day-to-day app but not owner-only settings like branding, integrations and logins. Field techs see their own schedule and jobs, with no prices or customer list unless you turn those on in "What techs can see".
In the app: How-to guide → Settings
How do I put the app on my phone?
On iPhone: open the app in Safari, tap Share, then "Add to Home Screen". On Android: tap "Install the app" (or ⋮ → "Add to Home screen") in Chrome. Then open it from the new icon.
In the app: How-to guide → Getting started
How do I turn on phone notifications?
Open the app from its home-screen icon, go to Settings → This phone → Notifications on this phone, and tap the button to turn them on. On iPhone this only works in the home-screen app, not a Safari tab.
In the app: How-to guide → Settings
What is Testing mode, and when do I turn it off?
Testing mode stops every text to every customer while you practice. An amber strip shows on every page while it's on. Turn it off in Settings → Customer texts → Customer notifications when you're ready for customers to get texts.
It also holds back the Outreach, quote follow-up and deposit reminder emails. Email campaigns and paperwork emails (estimates and invoices) aren't paused.
In the app: How-to guide → The Rules the App Enforces, Getting started
Can I run more than one business in one account?
Yes. One login can belong to several businesses, each with its own customers, number and settings. Switch between them from the menu ("Switch business"). Each business is its own subscription at the regular price.
In the app: How-to guide → Getting started

Does the app send my customers' information to an AI?
Only if the owner turns the AI features on. They stay off until the owner taps "Turn on AI features" on the "Use AI features?" card (Home, or Settings → Marketing & AI → AI features). Nothing is sent until then.
Once they're on, the app sends Anthropic (the maker of Claude) the information each feature needs — that can include customers' names, addresses, messages and job photos. Anthropic uses it only to answer the app's request and doesn't use it to train its AI. The owner can turn the AI features off anytime in Settings.
In the app: How-to guide → Getting started, Settings
What's the AI budget, and what happens when it's used up?
The AI features (reply drafts, inbox tags, the receipt reader, the writers, the photo check) run once the owner has turned them on (Settings → Marketing & AI → AI features), with a monthly budget that starts at $10. Reports → Overview → AI usage shows "This month: $X of $Y AI budget".
When it's used up the AI features pause until the 1st of next month and say so. Everything else keeps working: you write by hand, the owner brief goes out in its plain version, and new photos are held back from marketing until the photo check can look at them. Only the Swift Serve Pro team changes a budget; contact support if you need more room.
In the app: How-to guide → Reports
How do I choose what my crew can see?
Settings → Team & access → "What techs can see". Six switches: prices, invoices, every job, customer phone numbers, team notes and estimate visits.
The prices and invoices switches are enforced by the database itself, not just hidden on screen: with one off, a tech's login is refused that data even if they go around the app. The other four decide only what the app shows.
In the app: How-to guide → Settings, The Rules the App Enforces
Texting & calling rules
Why does my business texting need to be registered with the carriers?
US phone carriers require it for any business texting from software (A2P 10DLC). It proves who's sending and what kind of texts go out. Unregistered business texts get blocked. Swift Serve Pro does the paperwork from Settings → Get approved to text, and the cost is included in your plan.
In the app: How-to guide → Settings
What do I need on my website for texting approval?
The carriers check your own website for your business name, a way to reach you, what you do, a privacy policy, terms, and a clear statement of how customers agree to get texts. Swift Serve Pro creates ready-made privacy, terms and "text us" pages for you, gives you the exact wording for your website's quote form, and checks your website before anything is sent. No website? Your hosted business page is used instead.
In the app: How-to guide → Settings
How long does approval take, and can I use the app meanwhile?
About 10 minutes to fill in, about a day for us to check and file it, then usually 1–2 weeks for the carriers. Calls, voicemail and email for estimates and invoices work while you wait, and Testing mode lets you practice without texting anyone.
In the app: How-to guide → Settings
My texting registration was rejected. What now?
It happens, and it's fixable. Settings → Get approved to text says in plain words what the carriers asked for (usually something on your website). Fix it and send it again — resubmitting is free. After two rejected rounds we can move you to a toll-free number instead.
In the app: How-to guide → Settings
What hours can the app text customers?
Automatic texts go out only between 8 AM and 8 PM in your business's time zone. Anything due outside those hours waits until morning. You replying to a customer yourself is never held back.
In the app: How-to guide → The Rules the App Enforces
What happens when a customer texts STOP?
They're opted out at once and nothing in the app can text that number again, not even you, until they text START. Phrases like "stop texting me" count too.
In the app: How-to guide → Inbox & texting, The Rules the App Enforces
Why does the app add "Reply STOP to opt out" to some texts?
The very first text to any phone number carries it, as the carriers require. After that, texts to that number stay short. You never have to type it.
In the app: How-to guide → Inbox & texting
Why won't the app send a marketing text to some customers?
Marketing texts (reminders, follow-ups, review asks) need the customer's marketing OK, separate from service texts. Customers marked "said no", left out, set to "call personally", or texted recently are skipped, and the reason shows on their card.
In the app: How-to guide → The Rules the App Enforces, Marketing
Can I text a customer who never said yes to texts?
Service texts about work they asked for (an estimate, an appointment, an invoice) are fine for someone who gave you their number for the job. Marketing texts need their marketing OK. When in doubt, ask them on the first text.
In the app: How-to guide → The Rules the App Enforces
Why does a number say "Can't get texts"?
The phone company told us it's a landline or not in service. The app marks it so mass texts skip it. Call that customer, or add their cell number.
In the app: How-to guide → Inbox & texting
Why didn't my text deliver?
The red "Didn't deliver" line under your text gives the reason: phone off, landline, blocked, carrier filtered it, or too long for their phone company. Fix it and tap to send again.
In the app: How-to guide → Inbox & texting
How long can a text be?
A plain text fits 160 characters in one piece. Longer ones are sent in pieces and joined on their phone. One emoji makes the whole text take about twice as many pieces, so keep marketing texts short and plain.
In the app: How-to guide → Inbox & texting
Do pictures cost more to send?
Each picture text counts as 3 segments toward your monthly texting allowance. Pictures are worth it for before and afters; skip them for quick notes.
Can calls to my business number ring my cell phone?
Yes. Settings → Phone calls → "Forward calls to" your cell. You hear "Call for [your business], press 1 to accept", so you know it's a business call.
In the app: How-to guide → Settings
Do I get voicemail?
Yes. If nobody picks up, callers can leave up to two minutes, and the voicemail lands in the Inbox in their conversation.
In the app: How-to guide → Inbox & texting
Can I text from my own cell number instead?
No. Business texts go from your business texting number, so the whole team shares one Inbox and the carriers' rules are handled for you. Forward calls to your cell so customers still reach you.
What keeps marketing emails legal (unsubscribes)?
Every campaign email has an unsubscribe link, and one tap takes them off the list for good. Campaigns only go to your own customers; there's no way to import a bought list.
In the app: How-to guide → The Rules the App Enforces, Marketing
Payments & getting paid
Which card processors work with Swift Serve Pro?
Helcim and Stripe. You connect your own account; the money goes straight to you.
In the app: How-to guide → Settings
What are the card fees?
Whatever your processor charges (roughly 2.5–3% per card payment). Swift Serve Pro adds nothing. Reports shows the fees on every payment.
In the app: How-to guide → Reports
Can customers pay by bank transfer (ACH)?
Yes, with Helcim. Bank payments take a few days to clear, and the app shows them as "pending" until they do.
In the app: How-to guide → Reports
When does the money reach my bank?
Your processor pays out on its own schedule, usually 1–2 business days for cards. Reports → Money matches payouts to the payments in them.
In the app: How-to guide → Reports
Can I take deposits?
Yes. Turn on deposits in Settings, and estimates can ask for a $ or % deposit when the customer approves. Reminders go out until it's paid.
In the app: How-to guide → Estimates
Can I charge a customer's saved card?
Saved payment methods are used for prepay plans' monthly charges. For a regular invoice, the customer pays from the link you send.
In the app: How-to guide → Prepay plans
What counts as "paid"?
An invoice is Paid when the payments that actually count add up to the total. A declined card or a returned bank payment never counts.
In the app: How-to guide → Jobs, Invoices
Can the app create the invoice by itself when a job is finished?
Yes, it's on by default: marking a job Finished creates its invoice. Sending it is still your tap.
In the app: How-to guide → Settings
How do payment reminders work?
Deposit reminders go out automatically on the days you choose. Overdue invoices (from the second day after they're sent, or after the due date if that's later) show on Home's Needs attention card and the Invoices → Overdue tab, where you can text the payment link again.
In the app: How-to guide → Estimates, Getting started
Phone app & notifications
Does it work without cell signal?
Photos keep working: they're saved on the phone and upload when signal returns. Loading new pages needs a connection.
In the app: How-to guide → Jobs
What notifications will I get?
New customer texts, estimate approvals and declines, payments, and reminders before your visits, depending on your role and switches. Each person turns notifications on for their own phone.
In the app: How-to guide → Settings
Why didn't I get a notification?
On iPhone, notifications only work in the home-screen app, never a Safari tab. Check Settings → This phone → Notifications on this phone, and your phone's own notification settings.
In the app: How-to guide → Settings
Does the app track my location all the time?
No. Location is only used during a flyer walk you start yourself, and it stops the moment you tap Pause or Stop & Save.
In the app: How-to guide → Marketing
How do I update the app?
You don't have to. Updates appear by themselves the next time a page loads.
My crew uses Android. What do they do?
They install the app from Chrome ("Install the app" or ⋮ → "Add to Home screen") and sign in. Everything works the same.
In the app: How-to guide → Getting started
How do I refresh a page in the installed app?
Scroll to the top, pull down until the arrow turns blue, and let go.
In the app: How-to guide → Getting started
Team, roles & time clock
How many people can I add?
As many as you need. Users are unlimited.
Does every crew member need their own login?
Yes, and it's free. Their own login means their own schedule, their own clock-in, and that they only see what their role allows.
What can a field tech see? Can they see prices?
Their own schedule and assigned jobs, with addresses, gate codes, notes, photos and the workflow steps. No prices, invoices or customer list unless you switch those on.
In the app: How-to guide → Settings
How do I remove someone's access?
Settings → Team & access → Logins → "Remove access". They're cut off on their next page load. Deactivate them in Team so they stop showing up for new jobs.
In the app: How-to guide → Settings
How does the time clock work?
Crew tap + → Clock in, and + → Clock out. Owner and office can fix or add entries in Time clock.
In the app: How-to guide → Getting started
Can I see payroll hours?
Yes. Reports → Money → Payroll shows each person's hours and gross pay for the month, using the time clock and their hourly rate from Team.
In the app: How-to guide → Reports
Does my crew get told when I schedule them?
Yes. Each assigned person gets a text with the day, time, customer's first name and city, and another if it moves or comes off the calendar.
In the app: How-to guide → Settings
Can someone work for two businesses?
Yes. One login can belong to more than one business, with a different role in each.
In the app: How-to guide → Getting started
Marketing
Does the app post to Facebook and Instagram for me?
Once the owner switches on the weekly content plan, it drafts the posts from the before and after photos you've starred in the Gallery. After you approve, it posts them to Facebook and Instagram at the time you pick. You can also post one-offs yourself from Create.
Google Business only gets posts by itself once Google has approved posting for your business. Until then, new cards leave Google unticked. To copy a post to Google by hand, tick Google Business on the card before you approve; once the post has gone to Facebook and Instagram, the card shows a "Copy & open Google" button. For a one-off post, use "Copy & Open GBP" on Create.
In the app: How-to guide → Marketing
Will anything post without my approval?
No. Posts, blogs, website pages and review replies all wait for your tap.
In the app: How-to guide → The Rules the App Enforces
Why are some photos blurred?
The automatic photo check blurs faces, license plates and house numbers on the marketing copy so you never publish something private. Your original photo is never changed.
In the app: How-to guide → Marketing
Which photos does the app use for marketing?
The automatic picks — the weekly plan, the website's city pages and the photos under website articles — only use photos you've starred in the Gallery, and a before and after needs both photos starred (starring one photo of a pair stars both). Tap the star on a photo to approve it for marketing. Owner and office logins can star.
Posts you make yourself on Create or the Blog page can use any pair, starred or not. The privacy check still applies to those.
A star never gets around the privacy check: a starred photo with a face, license plate or house number only ever goes out as its blurred copy.
In the app: How-to guide → Marketing, The Rules the App Enforces
Can a customer opt out of having their photos used?
Yes. Turn off "Feature in marketing photos" on their profile, and nothing from their jobs is ever published.
In the app: How-to guide → The Rules the App Enforces
How do Google review requests work?
Every finished-and-paid job gets the same polite ask with your Google review link. The app refuses wording that offers anything in return or asks for a good review, to keep you within Google's and the FTC's rules.
In the app: How-to guide → Marketing, The Rules the App Enforces
Can I add reviews from Yelp, Facebook or Nextdoor?
Yes. Marketing → Reviews → "Add a review from another site", pasted word for word.
In the app: How-to guide → Marketing
How are flyer routes and yard signs tracked?
Walks record a GPS trail and the houses passed (walk recording uses the iPhone app); yard signs, banners and mail drops are logged on the Marketing map. Reports show which streets and which flyer design brought in jobs.
In the app: How-to guide → Marketing, Reports
What's the Grow (SEO) page?
A monthly report card for your website: Google clicks, page speed, review pace, and a ranked "Fix this next" list. It needs your website and Google connected.
In the app: How-to guide → Marketing
Can it mail birthday postcards?
Yes. Record birthdays on profiles and turn it on in Settings → Birthday postcards. Postcards are printed and mailed through Lob, with your own Lob account.

Your Swift Serve Pro subscription
What happens to my founding price if I cancel?
It ends. The half-price-for-life rate lasts as long as your subscription stays active; coming back later is at the regular price.
Do you charge sales tax?
Not at this time. If that changes for your state, it will show at checkout and on your receipt.
Can I buy the paid setup later?
Yes, anytime. Email support@swiftservepro.com and we'll schedule it.
How do I delete my account?
Settings → This phone → "Delete my account", then type DELETE to confirm. Your login is deleted and you're signed out on every device.
If you're the business's only owner, the business closes too: the team loses access right away, and all of its data is permanently erased 30 days later. Its Swift Serve Pro plan stops renewing right away: nothing more is charged, and there's no refund for time already paid. Changed your mind? Email support@swiftservepro.com before then. Employees who delete their login just leave; the business keeps its records.
Troubleshooting
How do I contact support?
In the app, open the menu and tap Help & support (it's also in Settings → This phone), say what you were trying to do and what happened, and tap "Send to support". We email you a copy; reply to it to send screenshots.
Or email support@swiftservepro.com. We usually answer within one business day.
In the app: How-to guide → Getting started
I can't sign in.
Use the same Google or Apple account, or email address, you were added with. Forgot your password? Tap "Sign in with email" and use an emailed code instead. If you land on "waiting for approval", the owner has to tap Approve in Settings → Logins. Used Apple's "Hide My Email"? The waiting page shows the private address you signed in with — send it to the owner to add on Team.
In the app: How-to guide → Getting started
It says "This account is paused."
The business is paused, usually because of billing. Nothing is deleted. Once it's resumed, tap "Check again".
In the app: How-to guide → Getting started
A new crew member signed in but sees nothing.
Their login is waiting for approval. The owner opens Settings → Team & access → Logins and taps Approve.
In the app: How-to guide → Settings
My tech's schedule is empty.
Their login isn't linked to their Team member, or nothing is assigned to them. Link the login in Settings → Logins and assign them on the job.
In the app: How-to guide → Settings
A text says it didn't deliver.
Read the reason under the text: phone off, landline, blocked, or too long. Fix it (add a cell number, shorten the text) and send again.
In the app: How-to guide → Inbox & texting
Customers aren't getting any of my texts.
Check three things: the amber Testing mode strip (turn it off), your texting registration status, and the customer's "Client can receive texts" box.
In the app: How-to guide → Inbox & texting
The customer says the estimate link won't open.
Send it again from "Send estimate", or copy the link and text it yourself. If you edited the estimate since, the same link shows the latest version.
In the app: How-to guide → Estimates
A customer says they can't pay online.
Check that card payments are connected in Settings. The job's history shows why a payment attempt failed (for example, a declined card).
In the app: How-to guide → Settings
A customer saw "too many tries" or "wait about 10 minutes."
The pages customers use without signing in (pay links, prepay sign-up, estimate Approve and Decline, the portal's sign-in and codes, your website form) pause for a short while when one internet connection makes a burst of tries. Normal use never gets there.
It clears by itself: about 10 minutes for pay, estimate and website-form pages, 15 minutes for the portal sign-in pause and sign-in codes, an hour for portal codes. Nothing to reset. Meanwhile they can reply to your text, or you can record the payment yourself.
In the app: How-to guide → The Rules the App Enforces
Photos won't upload.
They're safe on the phone. The photo card says how many are waiting; they upload when signal is back. If one says it didn't upload, tap Try again.
In the app: How-to guide → Jobs
There's an amber "Testing mode" strip and nothing is sending.
Testing mode is on. Tap "Turn off in Settings" in the strip and flip the switch off.
In the app: How-to guide → Getting started
The page looks out of date.
Pull down from the top to refresh, or reload the browser tab.
In the app: How-to guide → Getting started
My calendar is missing jobs, or part of it didn't load.
Check the chips above the calendar (Jobs, Estimates, Marketing, Appointments): a grayed chip hides that layer. If a red banner shows, tap Try again.
In the app: How-to guide → The Schedule
The address search can't find an address.
Type it in full and tap "Use exactly what I typed", then fill in the city and ZIP yourself.
In the app: How-to guide → Customers
My emails are going to spam.
Until your own domain is verified, service emails go out from notices@swiftservepro.com under your business name. Setting up your own domain in Settings → Email is the best fix: once it shows Verified, every email comes from your own address. Also fix mistyped addresses on customer profiles. Too many bounces hurt delivery.
In the app: How-to guide → Settings
I deleted something by mistake. Can I get it back?
Deleted customers sit in Customers → "Recently deleted" with a Restore button. A job with payments can't be deleted at all (cancel it instead).
In the app: How-to guide → Customers, Jobs
My phone notifications stopped.
Open the app from its home-screen icon, go to Settings → Notifications on this phone, and turn them on again. Check your phone's settings didn't turn them off.
In the app: How-to guide → Settings
A report card says "One quick setup step."
That card needs a one-time update on our side. Contact support@swiftservepro.com to finish it, then refresh the page.
In the app: How-to guide → Reports
My before and after photos don't line up.
Take the after from the little camera on the before photo. The before shows faded over the camera so you can match the angle.

Security & privacy
Is my data safe?
Yes. Every business's records are walled off from every other business's in the database itself, every page checks who's signed in, and your connection keys for texting and payments are encrypted.
In the app: How-to guide → The Rules the App Enforces
Can other businesses see my customers?
No. Each business only ever sees its own records. That's enforced by the database, not just by the screens.
Where is my data stored?
In the United States: a secure cloud database (Supabase, in its Ohio data center) and secure file storage, with the app hosted on Vercel.
How are my payment and texting keys protected?
They're encrypted when you save them and never shown again, not even to you. To change one, you paste a new one.
In the app: How-to guide → Settings
What can my customers see in their portal?
Their own jobs, estimates (except declined ones), invoices and payments, photos from their jobs, and their prepay plan. Never your internal notes or costs.
